We are Flourish Financial Coaching, (collectively referred to as ‘we’ ‘us’ or ‘our’ in this privacy policy), providing financial coaching services.

  • Notes, transcripts and recordings from coaching sessions
  • Information relevant to customer surveys and offers.
  • Any other information you choose to share with us during your coaching sessions.

How we use your information

We use your information to:

  • Continuously improve the quality of our services to you
  • Provide and manage our financial coaching services, and the correct delivery of contact on our website.
  • Communicate with you (e.g., to arrange sessions, provide resources, let you know about any new services and other relevant updates)
  • Keep accurate business records (for tax and accounting purposes)

Use of AI Tools:
To support and enhance the services we provide, we may use trusted AI software, including, but not limited to, tools such as:

  • Zoom AI Companion
  • Fathom
  • Chat GPT

These tools may record, transcribe, summarise, or analyse meetings to help:

  • Keep accurate notes of our conversations
  • Create better coaching resources tailored to your needs
  • Ensure nothing important is missed during sessions

You will always be informed when a session is being recorded, and you can choose to opt out if you prefer.

Recordings and transcriptions are securely stored, and we only retain them for as long as necessary.

We will never sell your data or use it for any purpose without your consent.

How long we retain your information

We keep your personal information for as long as necessary:

  • Certain details may be retained for up to 6 years to meet legal obligations
  • Session recordings and transcriptions will be reviewed regularly and deleted when no longer needed

If you wish for recordings or transcripts to be deleted sooner, you may request this at any time.

Lawful bases for processing

Under GDPR, we rely on the following lawful bases:

  • Legitimate interests — to enhance and improve the quality of our services, while ensuring your rights are protected
  • Consent — you have given clear permission for us to process your data
  • Contract — processing is necessary to fulfil our coaching agreement

  • With trusted service providers who process data securely on our behalf (e.g., AI transcription services, secure cloud storage providers, secure online payment platforms, email providers)
